• The anticipated starting income will be $72,216 - $126,456

Position Summary The University Housing and Dining Services is seeking an Associate Director of Operations. This is a full-time 1.0 FTE, 12-month, professional faculty position.

University Housing and Dining Services recognizes the importance of learning both in and out of the classroom, and supports the concept of education as an individual as well as a community practice. Our primary focus is service to OSU students. We strive to provide our students, faculty, staff, and guests with safe, economical, on-campus living and dining options that are convenient and comfortable. We offer a variety of living and dining options in fifteen residence halls, three dining centers, and a limited number of family apartments and houses. Our Department is an auxiliary enterprise which is funded solely by customers who use our services - we receive no State or tax dollars. We work to maintain the highest educational and service standards for our customers. This position will adhere to all OSU and UHDS policies and procedures.
The Associate Director is responsible for superviseing the in-house Custodial and Building Services program, Residential Conferences program, and Apartment and Family Housing program for University Housing & Dining Services. The position is the primary contact and liaison between customers and departmental staff, providing leadership abilities for integrated Custodial, Residential Conference, Building Services, and Apartment and Family Housing. The position leads the in-house custodial and Building Services programs, which includes 35 FTE and 20 students staff working in all UHDS facilities, over 2 million square feet. This position is responsible for the effectiveness of this program through strategic planning, systems development, supervision of management staff, and ensuring high levels of coordination with other UHDS units. This position supervises all aspects of the Residential Conferences, which includes 1 FTE and 20 student staff who provide service to adult and youth organizations, camps, individual scholar stays and academic conferences, working with over 80 conferences annually and generating over $1.75 million in revenue through this program. This position is responsible for sales, contracting, planning, coordinating operations and billing, as well as guest services ensuring that all guest rooms are ready, arranging for catering and meal service, and other special needs for each group. This position provides oversight of the Apartment and Family Housing program, which includes 1 FTE and 6 student staff. This position is responsible for the effectiveness of this program through strategic planning, systems development, supervision of management staff, and ensuring high levels of coordination with other UHDS and OSU units. This position additionally contributes to the overall success of the UHDS Operations and Facilities Unit and University Housing & Dining Services in the housing operations area supporting special projects and initiatives such as opening, closing, and the INTO OSU partnership, a collaborative venture serving international students. This position is a leadership abilities position, requiring vision, a proactive attitude, capability to work autonomously, and to respond to crisis situations.

Position tasks 30% CUSTODIAL AND BUILDING SERVICES PROGRAM MANAGEMENT
Provides oversight and management of in-house custodial services, ensuring quality control/quality assessment through inspection, health and safety, and clean and sanitary conditions for all UHDS residents, staff, clients, and guests in all UHDS facilities totaling over 2 million square feet. Develops daily, weekly, monthly, quarterly, and yearly task frequency schedules for all UHDS facilities with the Custodial managers and Director. Provides oversight of the Building Services program, whose staff prepares rooms for the Residential Conferences program and for INTO OSU and new student arrivals, assess room readiness for room changes during the academic year, and performs minor cleaning in resident rooms and common areas. Provides oversight for all space preparations in the UHDS system including residence hall rooms and apartment room turns. Responsible for prosperous coordination of room inspections when spaces are vacated and developing systems to ensure all rooms are turned and prepared for new occupants, partnering with Facilities colleagues. Coordinates and supervises the summer calendar of UHDS facilities, including scheduling maintenance and custodial cleaning and ensuring effective management of physical spaces by staff. Ensures building presentation is strong and positive through work delivered by Custodial and Building Services programs. Works with other UHDS staff to ensure prosperous department transitions: opening, closing, break, and summer operations for residential facilities. Reports emergencies and accidents to appropriate departments or agencies. Maintains security by reporting all lost keys and access cards according to department policy. Follows appropriate procedures for emergency work order requests. Serves as a member of the UHDS Emergency Management Team. supervises the Residential Conferences and INTO OSU linen program including budgeting, ordering, inventory, distribution, and cleaning. Provides staff and budget recommendations to the Director. Monitor expenses to ensure compliance with established budget.

25% RESIDENTIAL CONFERENCES PROGRAM MANAGEMENT
Ensures success of the entire Residential Conference program, including the Scholar Housing program. Provides leadership abilities for summer operations team, coordinating functional areas to ensure success of the program. Meet with staff to review groups, challenges, scheduling, and maintenance. Manages communication internally and externally regarding schedules and needs. Ensures facility readiness for all conferences and for the start of the academic year. Supports work of university departments and initiatives, such as OSU Athletics, OSU Extension, and Pre-college Programs, through facilitation of camps and conferences. Solicits, negotiates, schedules, contracts, and services all conference business. Develops proposals, responds to inquiries, communicates and confirms plans for facilities/services, growing the summer conference business. Manages situations with customers who may be upset, supports the customer while finding resolutions. Acts as a resource and referral for UHDS staff, campus services and programs. Build strategic relationships with other areas of university and local community, including OSU Conference Services, LaSells Stewart Center, Corvallis Tourism, and other campus and community organizations. Prepares and verifies timely billing. Responsible for collection of balances due from clients. Sets Residential Conferences rates. Provides staff and budget recommendations to the Director. Monitor expenses to ensure compliance with established budget. Serve in an on-call crisis response capacity during the conference season.

25% SUPERVISION

Provides leadership abilities for 80+ staff members. Directly supervises two Custodial Operations managers, one Residential Conferences and Scholar Housing Coordinator, and one Apartment Operations Coordinator. Indirectly supervises 35 Custodians and approximately 45 student staff. Plans work, assigns work, approves work, disciplines/compensates, prepares and signs performance appraisals, responds to grievances and hire/fire/recommends staff in/for the programs within purview with the Director, approves time sheets and leave requests. continuing day-to-day supervision, coaching and training. Recruits and trains staff. Maintains familiarity and compliance with university and department policies, food and beverage rules and regulations, and standard operating procedures.

15% APARTMENT AND FAMILY HOUSING PROGRAM MANAGEMENT
Provides leadership abilities and oversight to the Apartment and Family Housing program. Works with Apartment Operations Coordinator to ensure all systems and procedures needed for the prosperous delivery of the program are in place. Works with Director to set rates. Provides staff and budget recommendations to the Director. Monitor expenses to ensure compliance with established budget.

5% HOUSING OPERATIONS SUPPORT

Assists with unit and departmental efforts including residence hall opening and closing. Manages UHDS Ground Use process for the department. Manages special projects for the Operations and Facilities unit.
