Position Summary The School of Arts & Communication is seeking a adjunct to the School Director. This is a full-time (1.0 FTE), 12-month, professional faculty position.

This position is responsible for managing the office and business operations of the School of Communication. Position establishes and evaluates effective administrative office policies; interprets and applies university policies in multiple settings; serves as the administrative liaison for the School Director with both internal and external audiences; provides budgetary support and business management oversight; and hires, trains, and supervises assigned classified staff, and student workers.

Position tasks 60%--General School Administration
   » Serves as the general liaison between the School Director and faculty, staff, administration, and on and off-campus contacts; advises faculty and staff regarding university policies and serves as a resource regarding personnel, finance and other university administrative issues; authorizes purchases and approves invoices; monitors, tracks, and provides input on school budget as a liaison with the business center finance and accounting staff.
   » Provides administrative assistance to School Director. Collaborates with the Director on confidential matters; assists with the Director's calendar; responsible for confidential and routine correspondence and communications; prioritizes issues for Director's attention on routine reporting and scheduling. Assists with coordination of external and internal activities, meetings, and event coordination.
   » Prepares budgetary and other reports and other documents as necessary, including budget forecasting and spending reviews. Assists the Director with overall budget analysis for the school.
   » Assists the Director in managing relationships with current and potential donors through the OSU Foundation to help increase and support the foundation accounts that aid the school and its students.
   » supervises scholarship processes and distribution for the two areas in the school.
   » supervises purchasing of equipment and software programs up to $5,000.
   » Manage the office in a school that includes academic programming as well as public engagement and activities.
   » Work with faculty coordinators in Speech Communication and New Media Communications.

30%--Coordination of Personnel Processes
   » Coordinates personnel processes including (but not limited to) tenure/tenure track hiring, quarterly instructor appointments, graduate adjunct hiring, and fixed-term faculty and instructor appointment renewals.
   » Works closely with the human resources team assigned to the College of Liberal Arts to accomplish these and other personnel actions.
   » Assists with promotion and tenure process for faculty and instructors; maintains confidential records regarding promotion and tenure decisions and takes responsibility for the assimilation and distribution of the promotion and tenure dossiers. Assists with letters of offer for tenure/tenure track appointments, fixed-term reappointments, and new and returning graduate teaching adjuncts.
   » Prepares spreadsheets for the human resources team for appointments for approximately 40 faculty to be processed each term for on campus and Ecampus teaching. Assists with approval of fixed term renewal spreadsheet during annual university-wide renewal process. Places ads to recruit instructor and tenure-track hires within the School.
   » Assists the director with performance reviews by creating and maintaining necessary databases, information, and records; takes responsibility for distribution of information to appropriate parties. Works with the human resources team on completing annual PROF review spreadsheet.
   » Coordinates with International Services in hiring and reviews of international faculty, instructors, and student records to secure and/or ensure VISA eligibility. Maintains all necessary records and information needed for VISA applications.
   » Provides confidential administrative assistance to the School Director using appropriate judgment to identify and set priorities, help avoid conflicts, and coordinate external and internal activities.
   » Supervises up to two administrative office staff and three student workers; reviews position descriptions and work plans; assigns and reviews work; prepares and conducts performance appraisals; create professional development plans that benefit individuals and the School; counsels employees regarding employee performance and takes disciplinary action as appropriate in consultation with human resources team and the Director.
   » Develops strategies for long-term program and professional development (of self and supervised staff).
   » Plans and supervises project implementation and evaluates results of projects and initiatives.

10%--Other tasks as Assigned.

Minimum/Required Qualifications Bachelor's degree in business management, accounting, or related field, OR equivalent combination of education and practice.

At least two years of professional practice prosperously running a complex business office including budget administration, records management, program coordination, project management, general application of critical thinking and problem-solving expertise.

Significant practice with MS Office Suite. Demonstrated knowledge of office technology and software, database and spreadsheet development, personnel systems, and calendars and scheduling.

practice in prosperously managing personnel, including training, supervising, and effectively motivating staff.

Demonstrated professional interpersonal expertise and the capability to work effectively and cooperatively with a diverse group of individuals including faculty, staff, students, administrators, and the public.

Excellent organizational expertise including: strong verbal and written communication; practice explaining policies, procedures, and regulations; detail consciousness and orientation.

A demonstrable commitment to promoting and enhancing diversity.
