Position Summary This recruitment will be used to fill one full-time Office Specialist 2 position for the Extension Linn County Office at Oregon State University (OSU). This position will be located in Tangent, Oregon.

The Office Specialist 2 performs a wide variety of office support, technical, and/or minor administrative or business-related tasks in support of campus programs or operations. The OSU Extension Service of Linn County delivers objective, research-located, non-formal education to help the people of Linn County solve problems, develop leadership abilities and manage resources wisely. Extension provides education that contributes significantly to strong individuals, families and communities, a vibrant economy and sustainable natural resources.

Program Mission

4-H provides young people with intentional, high quality learning practices that promote positive interactions with adults and peers, sustained and active participation across time, and opportunities to make significant contributions to the world around them. This mission is accomplished through the work of volunteers, youth, community members and professionals who organize and conduct learning practices in club, group, community, and family settings. Programs are implemented in a manner that is consistent with the best practices in the field to youth development and respectful of local norms and culture.

Purpose of the Position


The primary purpose of this position is to provide customer service in the office via phone, face-to-face, email, social media, and mail. They will provide primary clerical support for 4-H Youth Development faculty, volunteers, youth, and will provide back-up support to other front office staff, management, and support of faculty. This position will manage the 4-H enrollment and 4-H fair database and will make independent decisions about scheduling, and handling information requests.

Position tasks The Office Specialist 2 embeds the commitment of OSU Extension Service to a collaborative and inclusive community in all interactions and tasks performed.

50% -Reception and General Office Support


Primary reception and front office support.
Answer multiple phone lines, screen, respond, and direct incoming calls and emails.
Greet customers and provide information as requested.
Explain OSU Extension Service programs and educational services.
Collect, record, and secure fees for all program areas and publication sales.
Provide water and canner lid testing to clientele.
Maintain informational publications and bulletin board for department.
Provide general support to all program areas as necessary during staff absences and overloads.
Open and close office everyday per office hours.

45% - 4-H Program Support


Gather and maintain up-to-date 4-H enrollment and program records utilizing 4-H on-line system and reports.
Assist 4-H volunteers and members with online enrollment and accessing project materials.
Assist 4-H clubs with placement of new members.
Maintain data in the 4-H enrollment and fair management databases.
Ensure background checks clear for volunteers.
Develop and implement marketing materials for 4-H.
Update 4-H social media (Facebook, Instagram, Twitter).
Update 4-H website to include current events, newsletters, and entry forms.
Organize, update, and restock 4-H resources and project materials.
County 4-H Association responsibilities, where applicable: Follow OSU financial policies, standards, rules, procedures, and best practices and the County 4-H Association agreement.
Assist 4-H faculty with Linn County Fair and other events/workshops as requested.

Perform other tasks as assigned.

Minimum Qualifications
Two years of general clerical practice. One year of which included typing, word processing, or other practice generating documents; OR An Associate's degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical practice. College courses in Office Occupations or Office Technology will substitute for the required practice on a year-for-year basis.

Preferred (Special) Qualifications Demonstrated proficiency with computer software comparable to Microsoft Office Suite (Outlook, word, Excel, PowerPoint, Publisher and Access), and database management.
Demonstrated practice working with Volunteer organizations (youth and adult volunteers).
Demonstrated capability to interact positively with the general public; oral and written.
Demonstrated customer service focus, responsiveness to requests and problem-solving abilities.

Working Conditions / Work Schedule 8:00 am - 5:00 pm, Monday through Friday, with flexibility to work occasional evenings and weekends depending on program needs.
