Position Summary This recruitment will be used to fill one full-time Administrative Program adjunct position with the Graduate School at Oregon State University.

The incumbent in this position processes documents all over the full enrollment management life cycle, starting with applications for admission and continuing until degree or certificate awards are completed. Numerous technical systems are used, broad expertise of policies is required, and communication with candidates, students and faculty is important. The Graduate School's primary missions are to advance graduate education, to assure quality and unquestionable standards and to maintain the academic integrity of approximately 80 graduate programs. To this end, the Graduate School initiates and monitors appropriate regulations, policies and procedures, coordinates programs, courses, admissions standards and degree requirements, and certifies and awards all graduate degrees. The Graduate School maintains records of approximately 5,000 active, thousands of inactive and 8,000 prospective graduate students. Additionally, this unit is responsible for the review, approval and maintenance of several thousand graduate faculty records. By its very nature, the Graduate School's function is central to the mission of Oregon State University.

Position tasks 60% Evaluate domestic and international application credentials


Review status of former/current institutions(s) and degree(s) for accreditation using reference books and internet resources to determine whether OSU requirements are met. Perform evaluation of applications for which graduate programs recommend admission, including calculation of GPA to ensure OSU standards are met. Calculations may be from universities with a variety of grading systems, calendar years, etc. Confirm authenticity of documents provided by candidates. Update Banner database records and trigger communications to candidates. Inform programs/candidates of decisions and prepare contested files for further reviews. Work performed under deadline pressures.

10% Process admissions applications

Process electronic applications for admission by verifying name matches, updating or completing data as needed, confirming accuracy of information in Banner applicant records. Match documents with applications. Scan and index application documents.

10% Inform candidates, students and faculty of Graduate School and Graduate Admissions policies

Serve as contact person for a group of graduate programs. Explain detailed policies and procedures to persons who need information about a specific program or policy. The level of detail involved requires broad expertise of OSU policies and procedures. Screen problems and resolve issues or recommend alternative courses of action. When needed, refer exceptions to the Director of Recruitment and Admissions.

5% Evaluate Master's and Ph.D. programs of study for current students as needed for back up

Review submitted programs of study and transcripts to determine whether program requirements have been met.
Refer problems to manager for resolution. Place holds on registration until issues are satisfactorily resolved.

5% Audit Student Files and Approve Program Events as needed for backup


Perform final audit of student files and approve the scheduling of major program events related to graduate education, including doctoral preliminary oral exams and masters and doctoral final written or oral exams. Perform degree audit to verify that requirements have been accomplished to justify advancement to the next stage of the graduate student's degree program. Determine acceptcapability of student's committee by confirming graduate faculty status and function of committee members. Independently approve or deny requests for substitution of committee members. Inform student and academic department in writing of program deficiencies that must be resolved prior to advancing to the next level in the student's career.

5% Certify Degrees as needed for backup

Verify prosperous completion of program of study and required exams. Certify degrees by accurately noting completion in Banner. Scan and index documents for electronic student records.

5% General Office tasks

Assist with reception tasks as needed during vacations, etc. Respond to email questions from candidates, students and faculty. Scan/match documents. Electronically load test scores. Other tasks as assigned.

Minimum Qualifications
Three years of office practice which included two years at full performance level and practice generating documents; and Lead work responsibility or coordination of office procedures.
Additional Required Qualifications Demonstrated practice utilizing MS Office Suite products to execute word processing and spreadsheet functions.

Strong written and verbal communication expertise.
