Position: Sales and Events Coordinator Reports to: Vice President of Corporate Partnerships & Sponsorships, Philanthropy, and Event Sales Position Summary: Under the direction of the VP of Corporate Partnerships & Sponsorships, Philanthropy, and Events Sales, the Events Coordinator supports the Aquarium’s efforts to assist with and or produce high quality Private and Partner/Sponsor events. Essential tasks and Job responsibilities: » Support the event planning and design of private events, upselling event add-ons, and event execution » Maintain and communicate accurate and current event information via timely phone calls, emails, and in-person meetings with appropriate departments, teams, and frontline team members to ensure the delivery of events and an outstanding guest practice » Schedule walk-throughs and site tours with potential and current Clients » Maintain accurate and current databases of events; managing, tracking, recording, and reporting event data » Generate and share event plans and summaries, agendas, production schedules, and confirmation emails to team members » Maintain and update event lead and event opportunity records in Salesforce » Work effectively across departments to ensure all events are prosperously executed » Work closely with catering partner(s) for all event needs » knowledge and application of all facility rental and event policies, procedures, guidelines, and safety procedures as documented in Aquarium literature » Establish and maintain relationships with outside event vendors, partners, and consultants including contractual documentation where appropriate » Utilize computer programs (DOMO, Caterese, Social Tables, and others) for planning and reporting purposes » Ensure web information and promotional materials for all events are accurate » Plan, create, and work with the Marketing Team to execute event sales marketing including but not limited to ads, social media, and emails. » Be the point of contact and or on-site contact for specified events » Inventory and asset management of event equipment, supplies, and décor » Completion of all other tasks as assigned Education : Bachelor’s degree in a related field (i.e. hospitality, etc.) from an accredited college or university or High School Diploma with work practice. Critical expertise/Competencies: » 1+ years in hospitality or event-related functions » Commitment to a high level of customer service » Willing to execute day-to-day tasks and work independently » capability to follow through, cooperate and work as part of a team » High level of multitasking capability under tight deadlines and high-pressure situations » Excellent oral and written communication expertise » Outgoing, friendly, strong interpersonal expertise » capability to build positive relationships with potential clients » Exceptional organizational and systems building expertise » Attention to detail » practice working with database management » Proficiency in all Microsoft Office applications Physical Demands of the Job: This job requires extended periods of standing and walking as wells as periods of sitting with data entry. Weekends, weeknights, holidays and over time is expected on occasion.
