Position Summary The Office of the Registrar is seeking a Communications Coordinator. This is a full-time (1.0FTE), 12-month, professional faculty position.

The Office of the Registrar is an Oregon State University mission-critical unit. We serve as an innovative partner, providing a clear path for student success. We provide enrollment and instructional services, maintain academic history, and offer support services to students, staff, and faculty. The Communication Coordinator position in the Office of the Registrar is a member of the Project and Communications Team. This position is responsible for the planning, coordination, implementation, and evaluation of comprehensive Office communication plans, and engagement, marketing, and assessment activities. Communication planning and implementation is multi-modal and includes email, newsletters, website, social media, training videos, presentations, talking points, and end user documentation. This position also supports security access processes for the Office. Collaboration and communication are important aspects of this position for building and maintaining strong partnerships across the institution. Success in this position includes the capability to pivot quickly within an ever-changing environment; comfort with ambiguity and flexibility are essential. The Communication Coordinator function is necessary to ensure thorough communication, engagement and training to partners and stakeholders for projects and routine operations.

Position tasks 30% Communication Planning
Develop strategic, inclusive, and culturally responsive communication plans to support initiatives, operations, and projects of the Office of the Registrar and other projects assigned by the leadership abilities team. Develop and maintain a communications calendar that tracks all Office communications. Identify internal and external customers for communications products, remaining flexible and adaptive to changes. Utilize various methods of media to communicate complex academic information for diverse community audiences, with consideration for readcapability, design, style, tone, and platform. Develop materials for internal and external distribution inclusive of all communication media and modalities. Develop multiple, complex communications channels and media to ensure effective and well-designed information transmission.

20% Communication, Coordination, and Implementation
Interview staff, stakeholders, and content experts for communications content. Research and gather information and data from subject-matter experts to create accurate and timely messages for intended audiences. Review policies and operational details of functional units within the Office to support and enhance project and operational communications. Create and enforce communications best practices in style, tone, etc. Communicate a wide variety of information, from fun to serious, appropriate to the audience. Develop messages and select modalities appropriate for target audiences; work to ensure consistent messaging across all media; write, edit, and proofread at all stages of communication. Identify ways to improve accessibility of communication formats, modifying methods as needed. Assist in implementation of communication plans, as requested. Coordinate and monitor the communications calendar ensuring information, stories, and other content is effectively communicated.

20% Project and Office Support

Attend project workgroup meetings, as requested. Develop and communicate timelines for project communications and ensure deadlines are met. Produce training materials and resources (e.g., handouts, slide decks, videos) to support Office projects and operational needs. Participate in security access processing for the Office.

15% Website Maintenance

Maintain and update the Office's website ensuring consistency with the Office's aesthetics, voice, design, best practices, consistent with the Oregon State University brand and layout. Develop new content, ensuring information is up to date and easily found. Coordinate web communications for projects and operational procedures. Develop and implement content for the website, social media, and FAQs related to the Office projects and operations. Assess the activity, usage, and impact of the Office's website ensuring Information technology is an effective source of information for students, staff, faculty, and the public. Plan, coordinate, and monitor web and social media, content, and information flow. Assist Office staff with the development of video content; effectively integrate video content into Office's website.

10% Stakeholder Engagement
Develop and implement ways to engage stakeholders using surveys, customer satisfaction feedback, focus groups, town halls, etc. Perform stakeholder research related to Office projects and initiatives. Develop and distribute surveys to support and enhance Office projects and operational functions. Analyze survey data and present findings to various audiences, as appropriate. supervise Office's Qualtrics surveys, tabulate and report results. Train users on survey design and management.

5% Professional Development and Other tasks as Assigned
Attend regular team and Office meetings. Actively participate in all Office discussions, workshops, and retreats. Participate in university or professional organization staff development activities or conferences. Assist other units within the Office of the Registrar with university programs and activities. Assist with annual commencement related activities and ceremony, as required.

Minimum/Required Qualifications
   » Bachelor's degree in Communications, Marketing, English, Web Design, Graphic Design, Journalism, Public Relations, or related field OR Four years full-time equivalent practice working as a communications coordinator/manager, web strategist, or marketing coordinator/manager may be substituted for the degree.
   » One year's full-time equivalent practice in communications planning/coordination, website maintenance, or related practice.
   » capability to manage multiple competing priorities, projects, and deadlines; on time and with attention to detail.
   » Demonstrated outstanding written and verbal communications expertise.
   » Proficiency using Microsoft Office Suite or other similar application(s).
   » A demonstrated commitment to diversity, equity, and inclusion.
