Executive Business Administrator
 
Purpose
We are seeking for a high-performing, action oriented and organized Executive Business Administrator. This individual will help to set processes and procedures across the admin team, and work as a key member of the leadership abilities team. The ideal candidate must be able to maintain a calm, professional, and focused demeanor, accommodate different work styles with ease, demonstrate sound and consistent judgment in sometimes ambiguous situations and make timely decisions in relatively complex situations.
Responsibilities
   » Manage complex management calendar including vetting, prioritizing, and providing recommendations. Ensure executive team is prepared for every meeting
   » Coordinate with leadership abilities team members to manage projects, internal and external meetings, and large-scale events from budget planning through logistical coordination
   » Project expediting—track current projects, coordinate with project managers, ensure deadlines and deliverables are met. Run and lead special projects upon request
   » Support members of the executive team and leadership abilities team
   » As a trusted advisor, make recommendations for the executive team in regard to their time management, prioritization, delegation and organization
   » Run cadence of weekly staff meetings and other important meetings, including planning agenda, organization, and follow-up on action items, while infusing our company values all over
   » Assist in drafting internal and external communications on behalf of executive team
   » Is enthusiastic, proactive, and has a strong desire to impact and influence the day-to-day business needs of a high-functioning team
   » Demonstrates strong planning and organizational expertise and understands the sense of responsibility and urgency for key deliverables
   » Adjusts direction in response to changing situations, the capability to work on several projects simultaneously, and prioritizes their own time and tasks
   » Is deliberate and forward-thinking in approaching challenges
   » As a liaison between leadership abilities team and all employees holds the pulse of the leadership abilities team, anticipants their needs, and positively influences results
   » Able to influence and embrace cross-functional/cultural teams and accommodate different working styles
   » Perform analysis, research and projects to assist with management decisions as assigned
   » Compile necessary information to submit timely and accurate reports on a monthly basis
   » Excellent communication, written and verbal, to interface with external partners including elected officials, board members, donors and guests with ease and grace
   » Partner with leadership abilities team and support staff across the organization to ensure consistent practices
   » Assist executives with operational and administrative tasks
   » Keep informed on new developments and procedures that affect the company through frequent contact with other organizations, departments and divisions
   » Other projects as requested
 
Qualifications
   » Bachelor's degree in Business, Administration, Human Resources or a related field
   » 6+ years administrative, business, finance or other directly related practice
   » Effective communicator who can interact with senior executives and other employees, clients and visitors in a manner of utmost professionalism
   » Effective, versatile and results oriented in a fast-paced environment with efficiency
   » Excellent interpersonal expertise including the capability to effectively communicate with business support community and business leadership abilities - both written and verbally
   » knowledge and recognition of the importance of confidentiality
   » Proficient data analytical expertise including data sets and data aggregation
   » Demonstrated effectiveness applying a keen business intellect to problem solving in an environment notable for complexity with multiple business partners and multiple projects
   » Relationship building expertise, maturity, high degree of self-confidence
   » capability to react with appropriate urgency to requests
   » Excellent expertise in all aspects of planning, cross-group collaboration, communications, analytical capabilities and attention to detail
   » Demonstrated skill of shifting approach in response to the demands of a changing situation
   » capability to prioritize multiple projects and problem-solving expertise and following through on issues in a timely manner
   » capability to deal with ambiguity, navigate uncertain situations, and drive for clarity
   » Skilled with Microsoft productivity software including Outlook, Word, Excel, PowerPoint, OneNote, and SharePoint
