Requirements:
Astra Publishing House is seeking an Accounts Payable adjunct/Contracts adjunct to support its Accounting and Contracts departments. This position will assist the Accounting department with bill verification and payments, and 1099 &1042 tax reports data entry; and the Contracts Administrator in creating, negotiating, and tracking contracts, and record-keeping; and provide general admin and data management support to the two departments.

Job responsibilities:

1. Accounts Payable:
- Manage the AP email inbox and enter invoices into Bill.com
- Verify approval on invoice, code invoices to the correct GL accounts with guidance from the accountant
- Calculate foreign tax withholding and manage tax entry reports
- Establish good communication and coordinate with project managers, department heads, and subcontractors on payment as needed
- Reconcile company credit card transactions against receipts
- Communicate with vendors as needed, onboard new vendors with necessary paperwork (W-9/W-8 and ACH forms), and manage the vendor database for 1099 and 1042 filing preparations
- Other accounts payable related tasks and vendor info updates as assigned

2. Contracts:
- Provide contracts administrative support
- Maintain tracking and filing systems
- Assist Contracts Administrator with agent and author communications
- Draft agency contract boilerplate templates
- Draft author contracts, amendments, reversion letters, and work-for-hire agreements
- Conduct contracts-related research for drafting and negotiations
- Collect author tax and payment forms
- Assist with other author/contract management related tasks as needed

Required practice/expertise:

- An interest in business affairs/contracts management
- Strong attention to detail
- Extremely organized
- Excellent multitasker
- Excellent communication expertise
- Proficiency with Microsoft Office and significant communication platforms (Gmail, Google Docs, etc.)
- capability to remain calm and professional under pressure
- capability to be discreet and protect confidential information
- College degree or 1-2 years' significant work practice
- 1 year of practice in accounts payable or related position preferred
- practice with Bill.com a plus
- Previous practice in book publishing a plus
