Moore College of Art & DesignStatus: ExemptPosition: Continuing Education Program Coordinator Reports To:Managing Director of Continuing Education; Continuing Education Program Manager Purpose:Responsible for providing administrative support to all Continuing Education programs The Continuing Education Program Coordinator supports Continuing Education in providing high-quality art and design educational practices that aid in upholding Moore's mission and meeting Strategic Plan and enrollment goals. Continuing Education programing includes Young Artist Workshop (YAW), Summer Art & Design Institute (SADI), Teachers Summer Institute (TSI), and Adult Continuing Education (ACE). Requirements: » BA or equivalent » Minimum 3 years practice with administrative/office tasks and educational programs preferred » Familiarity of studio art and design; expertise of art/design curricula and/or arts administration preferred » capability to lgain and apply new technologies and systems; practice with CRM's such as Slate and Power Campus preferred; practice with Microsoft Office Suite and Adobe Acrobat required. » capability to work on Saturdays and some evenings; (YAW Saturday Sessions for Fall and Spring Class Sessions; 10 weeks each) » Organized, detail oriented, and accurate. » Able to prosperously manage multiple projects and complete tasks in a fast-paced environment. » Excellent interpersonal expertise and capability to be comfortable with diverse audiences. » Attentive to safety needs of children and minors; capability/availability to obtain child abuse clearances for work in Philadelphia, PA » Excellent written and oral communication expertise. » Hard working, enthusiastic, customer service-oriented, motivated and flexible. » Possesses a positive attitude and capability to be a team player, work collaboratively and promote cross training. Primary Job responsibilities: » Planning and execution of youth and adult programs including registrar functions, student and faculty support, special events, communication and financial services such as deposits and refunds. » Coordinate classroom scheduling for programs and class administrative tasks. » Coordinates registration, deposit, withdrawal, and refund process in an accurate and timely manner; maintains accurate records and filing systems. » Coordinate ID, Moodle and other system logons for all students and faculty; communicate and distribute appropriate information required for systems. » Manage office and classroom art/design supplies and inventory. » Manage scholarship program cycle and archiving. » Data entry and support for prospective/active students, mailings, instructors and student databases. » Serve as customer service contact for inquiries, telephone and walk-ins. » supervise general CE email inbox. Disseminate inquiries and responses to customers and staff as appropriate. » Monitor inquiry to registration conversion. Support through customer service, contact and follow up. » Assist with department projects and special events such as open houses, info sessions, schools visits, and career fairs. » Maintain weekly and bi-weekly reports including inquiries, enrollments and data metrics; responsible for providing reliable, accurate and accessible data to meet program and college needs. » Perform other tasks and projects as assigned.
