SUBJECT: 42 WEEK EDUCATIONAL SECRETARY- SULLIVAN MIDDLE SCHOOL

REPORTS TO: Shannon Conley, School Principal

The following position is available for bid within the Educational Secretaries Unit. Preference for awarding this assignment will be given to those individuals who are appointed Word Processor.

ACCOUNTcapability OBJECTIVE:

This position is accountable for performing routine office work, be highly qualified in English, grammar, and typing. The Secretary must be mature and discreet and be able to meet people and handle sensitive material. The Secretary shall have two years of prosperous office practice with progressively more important responsibilities. The Secretary shall be computer literate with practice using a PC computer system.

PRINCIPAL Job responsibilities:

1.The Secretary is a member of the clerical staff and as such is responsible to provide clerical support to the administrative staff, to act as a receptionist, when necessary, and to execute the various changing tasks of her office to ensure that the office operation is run smoothly.

2.Maintain the files of the office to which he/she is assigned in a standard and appropriate manner.

3.Photocopy as required or requested, to include listed copies on official correspondence.

4.Respond on behalf of his/her office to official inquiries as directed by his/her manager.

5.Assist in internal mail distribution.

6.Greet all visitors courteously, determine his/her needs, check appointments, and direct or escort them to the proper person/office.

7.Answer office telephone and respond appropriately to request and/or channel calls to the proper person/office.

8.Complete appropriate paperwork, forms, requests, responses, or other such activity at the direction of his/her manager in a professional and appropriate manner.

9.Utilize the computer hardware and software placed at his/her disposal in the completion of his/her assigned tasks.

10.Perform any other related tasks or assignments as directed by his/her manager.

REQUIRED Appropriate qualifications:

1.High School Graduate or equivalent

2.Minimum 2 years secretarial practice

3.Must have computer practice and the capability to work with customized databases

4.Proven verbal and written communication expertise

5.Excellent time management and organizational expertise

PREFERRED Appropriate qualifications:

1.Demonstrated practice supporting students with special needs

2.capability to speak Spanish, Portuguese, Arabic, Vietnamese, Albanian, or Twi.

3.Demonstrated practice with second language acquisition

Work year : 192 days
