ABOUT THE function
REP is seeking a program coordinator to provide administrative support and strengthen the infrastructure for the Radical Ecosystem Pods branch of REP. Our trainers present continuing events called ?studios? that support neighbors in building expertise in de-escalation, mental health support, and situational consciousness. The main objectives for the coordinator are to maintain internal & external flow of communications, co-design work plans with trainers, ensure that studio events are planned well in advance, support event accessibility and logistics, evaluate how things are working, and facilitate growth of the project to fulfill its vision. The coordinator is supported and supervised by Project Managers (PMs).
Start date is January 2022. This is a one-year contract position (can be extended) with quarterly check-ins.
15-20 hours per week, 60 hours/month average.
Flexible schedule. Must have the capability to attend zoom meetings from 6-7pm on Mondays and midday on Thursdays. (If Thursdays don't work for you, let's talk.)
Work is home-located (including after COVID) & with occasional in-person events in the future.
RESPONSIBILITIES/tasks
Admin
• Support the development of Radical Ecosystem Pods in all related tasks as they arise
• Submit invoices/reimbursements to Accounting
• Build systems of documentation and organize studio work in Office 365
• Set up and maintain team calendar, send meeting invites and reminders
• Set a culture of consistent internal communication that allows for staff and partners to rely on coordinator on an continuing basis
Communications & engagement
• Create system for engagement with community through promotional materials
• Draft copy for events, connect media with trainers, and support social media presence
• Establish partnerships with potential guest trainers
• Table at occasional events to promote the work of Radical Ecosystem Pods
• Collect and integrate community feedback
Event planning & logistics
• Follow existing timeline and update as needed to keep Radical Ecosystem Pods on-track
• Work with trainers to choose future studio dates and themes six months in advance
• Track progress on curriculum in development
• Set up zoom and Eventbrite, book interpreters and translators
• Send reminders to participants, track participation, follow up w/ attendees, manage contact list
• Support trainers with tech glitches or chat management as needed
Trainer assistance & supervision
• Co-design work plans with trainers that function as accountcapability measures for PMs & Core team
• Assist trainers in moving forward a plan for a Radical Ecosystem Pods workbook
• Monitor capacity of trainers; communicate with PMs about need to expand studio team
• Answer questions from potential candidates, share applications with staff; set up interviews
• Ensure new staff paperwork is completed, filed, and sent to Accounting

Qualifications or requirements

practice needed
• 3+ years admin practice in a related area (community health, safety, organizing, education, the arts, etc.)
• Event planning/management
• Building systems for coordinating calendars and needs of several people
• Supervision of multiple people who have variety of work and communication styles
• Familiarity with designing curriculum or trainings (for political education is a plus)
• knowledge of building systems and criteria for evaluation of events and/or programs
